How to make a monthly budget (free template guide)

A monthly budget is simply a plan for every dollar that comes in and goes out this month. You do not need fancy software. You need clear categories, planned amounts, and a habit of comparing what you planned to what you actually spent.

“Monthly budget planner” gets thousands of searches a month on marketplaces like Etsy (about 8,100 average monthly searches in recent RankHero data) and roughly 4,400 Google searches per month for the same idea (Treendly). People want a system they can reuse—not a January resolution that dies in February.

What you need before you start

6 steps to make a monthly budget

1. List after-tax income

Add salary, side income, benefits, and anything else that reliably hits your account this month. Use take-home amounts, not gross.

2. Separate fixed and variable expenses

Fixed costs stay roughly the same. Variable costs change. List both. Common categories: housing, utilities, groceries, transport, insurance, debt payments, savings, and “fun money.”

3. Give every dollar a job

Assign a planned amount to each category until income minus planned spending equals zero (or a deliberate surplus). Round numbers are fine; add a small buffer for surprises.

4. Track actual spending during the month

Once a week, write down what you spent. A printable expense tracker beats hoping you’ll remember. Compare planned vs actual while you still have time to adjust.

5. Pay bills and savings on purpose

Use a bill tracker so nothing slips. Put savings near the top of the list—not whatever is left on the 31st.

6. Review at month-end

What overran? What was easier than expected? Update next month’s planned amounts. That review is what turns a template into a system.
